How to fill out and sign a PDF form

Type into fillable or flat forms, add a signature, save the completed copy, and know when a formal e-signature service is required.

You do not need to print every PDF form. Many can be completed on a phone or computer, even when the file was not built with clickable fields.

First, save a copy of the blank form.

Find out whether the form is fillable

Open the PDF and click or tap one of the blank areas.

  • If a field lights up and a cursor appears, it is a fillable form.
  • If nothing happens, it is a flat PDF. Use Fill & Sign, Add text, or Markup to place text on top.
  • If the whole page is one image, it is a scan. You can still add text, but OCR may improve alignment and accessibility.

Fill a form on a computer

  1. Open the file in a trusted PDF viewer or editor.
  2. Choose Fill & Sign, Fill form, or Add text.
  3. Move through fields with the Tab key when possible.
  4. Use checkmarks or dots for boxes and radio buttons.
  5. Review dates, initials, and required fields.
  6. Save as a new file.

Use the date format printed on the form. Do not guess whether 04/07/26 means April 7 or July 4.

Fill a form on a phone or tablet

Open the PDF in Files, Drive, Acrobat, or another trusted viewer. Tap the pen, Markup, or Fill & Sign tool. Add text, checkmarks, initials, and a signature, then save to Files or Drive.

Pinch to zoom before placing small text. Reopen the saved file afterward; a perfect-looking preview does not prove the saved copy contains the marks.

Add a signature

PDF tools may let you:

  • draw with a mouse, finger, stylus, or trackpad
  • type a signature-style name
  • photograph or scan a handwritten signature
  • use a saved signature
  • sign through an identity-verified e-signature service

Place the signature only after the form is complete. Resize it without stretching it out of proportion.

A visible signature is not always the whole process

Some senders require an audit trail, identity check, certificate, witness, initials on every page, or a particular signing platform. If the instructions name a service or signing method, use it.

Do not remove security from a restricted document just to make a signature tool accept it. Adobe notes that secured PDFs and some dynamic forms are not supported by its web Fill & Sign workflow; its supported-format guide explains the limitations.

Save the completed copy correctly

Use a filename such as:

w9-acme-signed-2026-07-28.pdf

Keep the blank original and the completed version. If the form contains sensitive information, store and send it using the method the recipient requested.

The final check

  1. Close and reopen the saved PDF.
  2. Check every required field.
  3. Confirm checkboxes show the intended answer.
  4. Confirm the signature and date are visible.
  5. Look for text that spills outside its box.
  6. Send the exact saved file—not the blank original beside it.

That last mistake is common, ordinary, and preventable with a clear filename.
