How to fix a PDF that will not open, upload, print, save, or look right

A calm troubleshooting checklist for damaged files, missing changes, blank pages, upload errors, bad printing, strange fonts, and permission problems.

When a PDF fails, do not try ten random buttons. Identify the symptom, make a copy, and use the smallest fix.

First, check the filename ends in .pdf and the file size is not 0 KB.

The PDF will not open

  1. Download it again.
  2. Try a different trusted viewer or modern browser.
  3. Move it from email or a cloud preview into Files, Downloads, or Documents.
  4. Shorten an unusually long filename.
  5. Ask the sender to open their own copy and resend it.

If every viewer reports damage, the file may be incomplete or corrupt. Renaming another file type to .pdf does not convert it.

The PDF asks for a password

Get the password from the sender through the agreed channel. Confirm Caps Lock, spaces, and similar characters such as 0/O and 1/l.

Do not upload confidential locked files to unknown “unlock” websites. If the password is lost, the document owner should create a new authorized copy.

Your writing or signature disappeared

You may have edited a preview without saving, opened the original instead of the completed copy, or used a viewer that did not preserve the form correctly.

Return to the editing app, choose Save a Copy or Share > Save to Files, then close and reopen that exact filename. For a form, use a dedicated fill-and-sign tool.

The upload says the file is too large

Check the stated limit. Compress a copy, remove unnecessary pages, or use an approved cloud link. Do not lower quality until signatures, small text, QR codes, and images become unusable.

The upload rejects the PDF

Check:

  • the extension is .pdf
  • the file opens normally
  • it is below the size and page limits
  • it is not password-protected when the service forbids protected files
  • the filename uses ordinary letters, numbers, hyphens, or underscores
  • the page dimensions are not extreme

Re-export from the original source when possible. “Print to PDF” can create a simpler fallback copy, but it may flatten links, fields, tags, and comments.

The PDF prints blank, tiny, cropped, or sideways

In Print preview:

  • choose the correct pages
  • set portrait or landscape
  • try Fit or Shrink oversized pages
  • confirm the paper size
  • turn on Print as image only as a last-resort compatibility option
  • download the PDF before printing instead of printing a browser preview

Test one page before printing fifty.

Fonts or layout changed

Return to the source file. Replace unavailable fonts, embed fonts where supported, check page size, and export again. On a work computer, brand fonts may not be installed even when the document opens.

Links do not work

Printing to PDF can remove interactive links. Export directly from the source app and test the saved PDF. A visible URL may not be a clickable link unless it was created as one.

Search cannot find visible words

The pages are probably scanned images. Run OCR in the correct language, save a new copy, and verify the recognized text.

The cloud link says “request access”

The file is healthy; the permission is wrong. Change the link to the intended people or audience, keep it view-only when possible, and test while logged out.

The reset that solves many problems

  1. Keep the original.
  2. Open the editable source or best available PDF.
  3. Save or export a fresh copy with a short filename.
  4. Put it in a local folder.
  5. Open it in a second viewer.
  6. Try the upload, print, or share again.

If the fresh copy still fails, report the exact error message, device, app, file size, and what you already tried. That turns “PDF broken” into a problem someone can actually solve.
