How to turn almost anything into a PDF
Convert Word, Excel, PowerPoint, Google Docs, webpages, emails, photos, and text files to PDF with the best method for each.
There are three ways to make a PDF:
- Download as PDF from an online app
- Export or Save As PDF from the original app
- Print to PDF when neither option appears
Use them in that order. Export usually preserves links, text, headings, and image quality better than printing.
Word document to PDF
In Word, choose File > Save As or Export, then select PDF. Keep document structure tags for accessibility enabled when that option appears.
If the layout changes, check fonts, tracked changes, page breaks, and comments in the source document before exporting again.
Excel spreadsheet to PDF
First set:
- the print area
- portrait or landscape orientation
- paper size
- margins
- scaling, such as “fit all columns on one page”
- repeating header rows for multipage tables
Then use File > Save As > PDF or Export. Inspect every page in preview. Excel is not trying to be difficult; a spreadsheet has no natural page edge until you give it one.
PowerPoint presentation to PDF
Use File > Export or Save As > PDF. Choose whether you want full-page slides, notes pages, or handouts.
Animations, video, audio, and transitions become static. Add a clickable link or a QR code if viewers need the moving version.
Google Docs, Sheets, or Slides to PDF
On a computer, use File > Download > PDF document. Google automatically saves the editable original in Drive; the PDF downloads to your device.
For a very large Google Doc, Google recommends File > Print, then Save as PDF in Chrome. The Google Docs download guide explains both routes.
In Google Sheets, set print options before saving. Look for Current sheet, Selected cells, or Workbook, then adjust scale and page breaks.
A webpage to PDF
Press Ctrl + P on Windows or Command + P on Mac. Choose Save as PDF.
Before saving:
- expand the sections you need
- turn off headers and footers if the URL and date are distracting
- turn on background graphics if important colors disappeared
- use the site's print view when available
For an official receipt, prefer the site's Download invoice or Download PDF button. A printed webpage is a visual snapshot, not always the official document.
An email to PDF
Open the single email and choose Print > Save as PDF. Expand hidden text and images first. Attachments must be downloaded separately unless the email service explicitly bundles them.
For a long conversation, decide whether you need the whole thread or only the latest message.
A photo or image to PDF
Open the image and use Print to PDF, or use the image viewer's Export as PDF command. When combining multiple images, rename them 01, 02, 03 first so the page order is predictable.
A PDF made from photos is still image-based. Run OCR if the words need to be searchable or selectable.
Plain text, notes, or copied content to PDF
Paste the content into Word, Google Docs, Pages, or another document app. Add a title and sensible page breaks, then export.
This is often cleaner and more accessible than printing directly from a notes app.
A useful rule
Keep the editable source file. A PDF is usually the delivery copy, not the best place for tomorrow's revisions.
